    A patient starts from the group website or a practice page. A Google listing or a QR code works too. The booking chat replies straight away, even at nine at night.

  2. 02Consent first, then details

    The chat asks permission before taking any detail. The chat also says what will be stored and why. Every practice keeps the same record, timestamped and easy to export.

  3. 03The patient picks a real open slot

    The chat shows live openings in the right diary, at the right practice. Your own slot lengths apply. A first assessment books a longer slot than a follow-up.

    Every patient gets the same reminder, in the same words, at every practice. One tap moves the appointment. Head office gets one weekly report, without asking four people for spreadsheets.

Do reminders really cut no-shows?

Yes. The evidence here is medical, not marketing. These are studies of appointment attendance, which is exactly your problem.

  • 67.8% → 78.6% attendance after a text reminder — Cochrane review, eight studies.
  • About 25% fewer missed appointments across roughly 16,000 patients — BMJ Open.
  • African studies found reminders roughly doubled the number of people who turned up.

Do you build the website too, or only the booking system?

We build both. The website is the front door patients find on Google. The booking system and the reminders are built by the same people. What we build into a website is here.

What else can automation do for a clinic group?

Automation answers the questions reception answers all day. Automation also chases outstanding paperwork and sends head office one weekly report. You approve anything the system is unsure of. More automation examples are here.

We already use practice management software. Why would we need this?

Practice management software is good at billing and records. Most of that software cannot answer a patient at nine at night. We add the missing front door, and we leave your existing software alone.

Can each practice keep its own diary and its own practitioners?

Yes. Each practice keeps its own hours, rooms, practitioners and slot lengths. One change at head office then reaches every practice.

Is patient information on WhatsApp a POPIA problem?

That depends on which WhatsApp account. A personal account holding patient names and conditions is very hard to defend. The official WhatsApp Business Platform is different, with a written agreement and consent taken up front. The full POPIA explanation is here.

Can patients complete intake forms before they arrive?

Yes. History, medical aid details and consent are collected when the booking is made. The practitioner has those details before the patient walks in.

What does it cost?

Have you built one of these for a physiotherapy group before?
