Trevern Technologies · For shopping centres, property & facilities

One website for the whole centre. Automation for every request.

You might run a shopping centre, an office park or a portfolio of buildings. We build the website that speaks for the whole centre, and we automate the requests that fill your staff’s week.

Where does the time go?

Every building adds requests that nobody can see in one place.

  • The same leak, reported six times

Water comes through a ceiling on the third floor. Six tenants report the leak, in six different ways. The leak gets logged six times, or nobody logs the leak at all.

  • Nobody can say which repairs are still open

A trustee or a tenant asks the simplest question there is. Which repairs are still open at this building today? Somebody phones three people and hopes those three remember.

  • The contractor drove out and could not get in

You booked the call-out and the contractor arrived. Nobody had arranged access or said which unit. The job slips a week, and the trip is billed anyway.

  • Tenant details in a dozen places

Names, unit numbers and phone numbers sit in threads, spreadsheets and one manager’s phone. When that manager leaves, some of those tenant details leave too.

From reported fault to signed-off job

We build the centre website, then we automate the requests.

  1. 01A website for the centre, with a page for every shop and building

One website covers the whole centre. Each shop, tenant or building gets its own page, address, map and contact. A shopper finds the centre, not head office in another suburb.

  2. 02One list for every request, however that request arrives

Requests arrive by WhatsApp, by email, by phone or on a building’s page. Every request lands in one list, tagged to the building, with an owner and a status. Six reports of one leak become one job.

  3. 03Contractors booked against the building, with access arranged

We book the call-out against the building and the unit. The contractor gets the address, the contact and the access arrangement before leaving. The tenant gets a time window and a reminder that morning.

  4. 04An AI helper answers after hours, and the report builds itself

A tenant messages at nine at night. The helper answers, and you approve anything the helper is unsure of. The monthly report for the landlord or the trustees then builds itself.

  5. 05We go live one building at a time, then hand everything over

We switch the buildings over one at a time. No building is left without a way to report a fault. At the end everything is handed to you.

Before any work starts

What is settled before the first building goes live.

Four things are agreed in writing, before any work starts.

  • One number for the whole portfolio. We walk the buildings first, then send one fixed quote in writing. If the build runs over, those extra hours are ours.
  • The centre website and the tenant records stay yours. The domain, the accounts, the code and every tenant record belong to you. Move to another supplier and you take all of them along.
  • The people who walk the buildings build the system. The people who would do the work sit in your first meeting. You never explain twice how access works at your most awkward building.
  • Tenant details handled the way POPIA expects. We set who may see tenant details at each building. A contractor sees only the maintenance job they were given.

Straight answers

The questions centre and facilities managers ask.

Do we replace the property software we already use?

Not unless a replacement helps you. If your accounting, levies and lease records work today, we build around those records and leave them alone. What we automate.

How does reporting to trustees, a landlord or a board work?

Every request records the building, the unit, who took the call and when the job closed. The monthly report is then a matter of choosing the dates.

What do tenants see, and what do our staff see?

A tenant sees their own building’s page and the faults they reported. A building manager sees the buildings they look after. Head office sees everything, and a contractor sees only one job. More on running one system across many locations.

A shopping centre holds many different businesses. Can one website speak for all of them?

Yes, and that is exactly what a centre website is for. The centre gets its own page, and every shop gets a listing with its own hours and contact. Shoppers find the centre, and tenants find the right person to call.

Does every building really need its own page?

Yes, and each page comes from one place, so the work stays small. Take on a building and the page appears. Hand a building over and the page comes down. What goes into the building pages.

What does it cost?

The cost depends on how many buildings you run and how requests reach you today. The call is free. You get one fixed quote in writing before any work starts. How we scope, quote and hand over.

Tell us how many buildings you look after.

Tell us how a tenant reports a fault today. We will come back with a plain answer and some times for a call. We are in Cape Town and we visit sites across the northern suburbs.
